The Walt Disney Company Executive & Team Assistant, ESPN in Singapore, Singapore

The Executive & Team Assistant role will support the GM as well as working closely with members of the the ESPN SEA team based in our Singapore office.

In relation to assistance provided to the GM, this position is critical to enabling the GM to perform their role more effectively and efficiently. Areas of responsibility include, but are not limited to, administration, diary management, meeting co-ordination and travel management. The role is additionally responsible for the drafting and co-ordination of key executive presentations and documents. The position of EA and Team Assistant to the GM is key to facilitating the ESPN team’s relationship with the GM, while working with the GM to build the culture of this business area within the wider TWDC/ESPN framework. The role is front facing for the GM and critical to bridging relationships both internal and external.

Responsibilities : Administration

  • Handling security of confidential material.

  • Extensive diary management, including organising and scheduling internal and external meetings and appointments as required, ensuring meetings and commitments are booked according to GM’s priorities.

  • Ensure meeting agendas are circulated, minutes are taken as required and distributed, and actively follow up on outstanding items.

  • Act as the first point of contact for all external/internal phone calls, and dealing and resolving issues when appropriate.

  • Manage GM’s inbox as directed and addressing requests/issues when appropriate.

  • Ongoing follow-up of items due in order to ensure deliverables are met and communication of status of items to key stakeholders.

  • Organising meetings, including set up of facilities and meeting requirements, preparing agendas and taking minutes as required. Ensure attendees are invited and clear communication on meeting logistics.

  • Maintenance of physical/electronic filing systems.

  • Liaising with senior executives within and outside of ESPN and TWDC on behalf of the GM as required.

  • Preparing high quality documents, letters, correspondence and reports and proofing/reviewing of correspondence and reports.

  • Ongoing follow-up of action items due in order to ensure deliverables are met and communication of status of items to key stakeholders.

  • Creation and co-ordination of PowerPoint/Keynote presentations and strategy documents for senior level audiences.

  • Provision of any other support as required by the GM.

  • Provide diary management, administration support, and ad hoc support across the ESPN SEA team.

  • Provide ad hoc support to wider the ESPN team on specific projects as approved by the GM.

Internal Communication

  • Distribute internal ESPN communications to and on behalf of the GM to the team as required, and approved by the GM.

  • As required provide support for cross company communication.

Travel

  • Organise and coordinate travel and accommodation requirements (international and domestic) for GM as required, liaising with external Company’s authorised travel agency to secure cost effective and suitable bookings. This will include flights, accommodation, transportation, courier and freight management etc.

  • Responsibility for international visitors – itineraries, hotels, schedules, meetings, entertainment and transport.

Finance

  • On behalf of the GM deliver accurate preparation and coordination of expense claims ensuring timely reimbursement using SAP and AMEX online statements in compliance with Company policy.

  • Use of SAP system for accurate and timely raising of Purchase Orders and invoices for payment.

  • Liaise with Finance on queries and to ensure prompt payment.

Events

  • Organise and coordinate team events & hospitality often involving budget control and financial reporting.

  • In partnership with TWDC team be involved in planning of trade events and marketing initiatives.

Facilities

  • In consultation with TWDC Facilities Manager, ensure that the ESPN office space is carefully managed, supported and presentable.

Basic Qualifications :

  • A minimum of 2 years' experience in an EA role supporting senior management

  • Advanced Microsoft Office Skills

  • Advanced PowerPoint skills essential

  • Advance Key Note skills essential

  • HSC or year 12 equivalent

  • SAP knowledge advatangeous

  • Industry background advantageous and/or interest in the Media Industry
