General Role Description

  • The Burbank/Glendale Hub supports all the accounting and financial reporting activities for the Studio Entertainment, Disney/ABC Television Group, Disney Consumer Products and Interactive Media, and the Direct-to-Consumer segments of The Walt Disney Company.

  • This position reports to the Director, Studio Controller and Director, Segment Financial Reporting.

  • This role is responsible for maintaining an efficient functioning office and workflow, supporting projects, meeting preparations, and other administrative support including calendar coordination.

The ideal candidate for this role will be an individual with high energy, a helpful attitude, an independent producer, very proactive and willing to tackle new assignments. The Senior Secretary must be flexible, very service oriented and demonstrate strong attention to detail.

Responsibilities :

  • Proactively manage and coordinate calendars for two Directors, managing prioritization and scheduling conflicts across internal and external stakeholders

  • Coordinating complicated multi-stakeholder client meetings and coordinating logistics for all participants.

  • Booking meeting rooms and scheduling telephone and video conferences

  • Producing and maintaining expense (T&E) reports

  • Maintaining accurate and organized files, databases, and document sharing applications for the team

  • Working across Microsoft Office applications

  • Screening telephone calls and forwarding as appropriate

  • Provide general office management support to the team, including office space planning and new hire onboarding and set up

Basic Qualifications :

  • Minimum of 3-5 years providing executive level administrative support

  • Prefer 3+ years providing executive level administrative support in large organizations

  • Ability to multi-task and operate within an organization conducting business across multiple time zones

  • Detail-oriented, self-motivated individual with strong planning and organizational skills and the ability to prioritize effectively using proactive judgment to manage details and accurately follow through to meet all deadlines

  • Strong communication (written, verbal) with high-level internal and external executives and their assistants

  • Proven problem solving, and project management skills

  • Ability to exercise discretion when handling sensitive matters or calls

  • High level of proficiency in Microsoft Word, Outlook, Excel, Powerpoint, and SAP.

  • Experience with video tele-conferencing (VTC) equipment

  • Solid understanding of team expense and travel policies (T&E)

  • Ability to thrive in a fast-paced, matrixed environment

  • Strong interpersonal skills and an optimistic outlook to interact across a wide spectrum of team members and outside clients

Preferred Qualifications :

  • 1-2 years’ experience with SAP

  • Deep familiarity with The Walt Disney Company
