The Walt Disney Company Admin Assistant – Information Advantage in Glendale, California

This role provides day-to-day Executive administrative support for the Disney Park Experiences and Consumer Products (DPECP) Technology Vice President of Information Advantage. Responsibilities include, but are not limited to: relationships and communications as the front-line contact for the department, scheduling meetings and general calendar & schedule management; handling phones, arranging travel; SAP processing to support administrative tasks; preparing expense reports and invoices to ensure timely payment processing, coordinate team events. Occasionally assist with executive level presentation creation, documentation of office procedures. Collaborate with other administrative professionals in the organization and provide backup administrative assistance when needed. This position requires creative thinking, interactions on the phone/voice, in-person and email with employees at all levels, problem solving, prioritization skills, decision-making and proficiency in all levels of communication.

Basic Qualifications :

  • Demonstrated accountability for calendar scheduling, travel planning, communications, team events and expense reports

  • Demonstrated follow-through to completion of requests with timely tracking and reporting on outstanding requests

  • Demonstrated seamless coordination across the executives, team members, assistants and service providers

  • Demonstrated ability to anticipate from learned patterns and priorities, proactively managing potential bottlenecks

  • Facilitate and establish relationships with key stakeholder assistants to ensure critical meetings are prioritized and accommodated in a timely manner

  • Demonstrated computer proficiency in Microsoft Word, Excel, PowerPoint, Outlook (calendar and email) and SAP with willingness and aptitude to learn new things

  • Demonstrated strong organization and time management skills and ability to work with confidential information

  • Demonstrated ability to prioritize multiple tasks, meet deadlines, make decisions and change course when necessary

  • Proven ability to build effective working relationships with all levels and influence all levels by being knowledgeable and credible

  • Demonstrated ability to work independently and within a team environment with strong follow-through skills and attention to detail

  • Demonstrated strong verbal and written communication skills

  • Ability to work effectively and efficiently in a fast-paced and demanding environment with the ability to be flexible with work schedule including occasional overtime

Required Education :

  • High school diploma or equivalent with minimum 3 years related experience, including proven experience supporting an Executive leader

Preferred Education :

  • Associate degree or equivalent
